Employee RequestsDigitize the process from when staff request documents until the requester receives them.

Employees request documents and submit declarations to the employer electronically, with a few clicks. Certificates, employment notes, changes in personal data — everything goes through one simple, traceable process. Requests are handled the same way as leave requests and automatically become part of the employee's electronic personnel file.

Key features

Ready-made request types

You define the list of request types your people can submit — employment notes and certificates, tax declarations, changes of personal data or bank account, and free-text requests.

Attachments and forms

Employees attach a file or a photo to the request — for example the bank's own income-certificate form — so the document arrives in the format the recipient expects.

Electronic signing

Employees sign the request electronically when sending it; HR attaches the finished document and signs it with a Qualified Electronic Signature.

Flexible approval path

You set the path of each request type in advance — usually straight from the employee to HR, or through as many levels as you need.

Automatic registration

Every request is entered in the incoming and outgoing journal with a number and a date, and the issued document goes to the employee's file.

Status at a glance

Employees see the status of every request at any moment, from anywhere, without visiting the HR office.

In detail

Request types you define yourself

The employer builds the list of request types according to their own needs — nothing has to be forced into a standard form. Employees choose the type they need from a simple list in their profile, and the request that reaches HR already contains the information the process requires.

Typical types include:

  • Employment note or income certificate

For a period selected by the employee — the most frequent request of all, and the one that most often meant a trip to the HR office.

  • Certificates and notes required by institutions

Documents requested by authorities, banks, insurers and other third parties.

  • Declarations under Art. 22v and Art. 22g

For the annual tax preferences, including those for children under 18 — collected in one paperless campaign at the end of the year.

  • Production characteristic

The certificate on the working conditions at the employee's workplace.

  • Business trip request

Submitted and approved electronically, before the trip takes place.

  • Change of personal data

Name, qualification or the data in an identity document, with the supporting document attached.

  • Change of bank account

The new account details arrive with the request itself, so payroll uses them without a second entry.

  • Free-text request with an attachment

For everything that is not on the list — described in the employee's own words, with a file or a photo attached.

New types are added at any time as your processes change, and each one can have its own path and its own set of required fields.

How a request works

Submitting a request takes a few clicks and needs no paper and no visit to the office:

  • 1. Choose the type

The employee opens Requests in their profile and picks the type of request from the list.

  • 2. Fill it in

They select the period if one is needed, describe what the document is for, and attach a file or a form.

  • 3. Sign and send

The employee signs electronically by accepting the terms when sending, and the request is on its way.

  • 4. Registration

The request automatically receives a number and a date in the journal.

  • 5. Processing

It arrives in the profile of HR — or through the other levels the employer has set — who prepare the document.

  • 6. The file

The request and the document issued on it are stored in the employee's electronic personnel file.

At every step the employee sees where the request stands, and HR sees the whole queue in one place, already registered and complete.

Journals, integration and the personnel file

Every request is registered automatically in the incoming and outgoing journal of Bau24, with a number and a date, so the paper logbook disappears without a separate register to maintain.

If the employer keeps their registry in another system, requests can be exported to it and imported back, so the same process runs whichever system holds the journal.

Processed requests and the documents issued on them become part of the employee's electronic personnel file automatically — the certificate that was asked for is also the document stored in the file.

The result: employees request documents from anywhere and at any time, HR receives everything in one place already registered, the tax-declaration season passes without paper, and nothing is entered twice.
